A. YOUR CONSENT TO THIS PRIVACY POLICY


For the purpose of the Data Protection Act 1998 (the Act), the data controller is the Slipper Mill Pond Preservation Association (“SMPPA”), 56 King Street, Emsworth PO10 7AZ.

If you undertake any of the following activities and provide personal data to us we will endeavour to make it clear why we need it and to obtain your specific consent to use it. 

Unless otherwise notified you will be treated as having consented to our use of your personal data under the terms of this Policy if you:
•    become a member of the SMPPA
•    join any SMPPA committee or volunteer for the SMPPA in any other capacity
•    subscribe for email newsletters and updates
•    obtain any goods or services from us 
•    participate in any event run by us
•    enter a competition, promotion or survey run by us

B. INFORMATION ABOUT YOU


This Privacy & Data Protection Policy sets out how the SMPPA uses and protects any information that you provide to us.

If you are a non-member visiting our website we do not ask you for any personal information, unless you complete our online contact form.

If you are a member of the SMPPA we hold some limited information about you (such as your name and address).

If you are a visitor to the website and you decide you wish to join as a member we ask you to provide that limited amount of information about yourself, but not via our website.

In either case we are committed to ensuring that your privacy is protected and you can be assured that it will only be used in accordance with this privacy & data protection statement.

The SMPPA may change this policy by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 1st May 2018.

C. WEBSITE COOKIES


We do not use Cookies on the SMPPA website.

D. HOW WE USE YOUR INFORMATION / MEMBERSHIP RECORDS


We will hold, or if you are applying as a new member ask you to enter and then hold, your name, address, telephone number(s), email address(es) together with information about your annual subscription, donations and payments made, plus information about any bookings that you make for Events run by the SMPPA.  

We do not hold any financial records and do not take Credit Card or PayPal payments.

We require this information in order to :-
•    Keep you up to date with information regarding the SMPPA by Newsletter and email
•    Enable you to pay your membership subscription and, if you choose, make donations
•    Enable you to book for Events run by the SMPPA
•    Keep you up to date with information regarding the SMPPA by Newsletter and email

E. HOW WE MAY SHARE YOUR INFORMATION


If you are a member we will not sell, distribute or lease your personal information to third parties and we do not hold any information online. If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.

F. RETENTION OF INFORMATION


We may keep and process your personal data for so long as you remain a member.

Where your membership lapses we will within a reasonable time of the lapse occurring cease actively processing your data but may retain your data for up to two years for the purpose of facilitating the renewal by you of your membership.

We may also retain and process your personal data in a format that does not permit identification of you for historical and statistical purposes.

G. WHERE WE STORE YOUR PERSONAL DATA


The data that we collect from you will not be transferred to, or stored at, a destination outside the EEA.  We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.

H. YOUR RIGHTS


If we retain your personal data after you cease to be a member of the SMPPA, then you have the right to ask us not to process your personal data. You can exercise this right at any time by contacting us at info@smppa.org.uk.

You also have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes.
